A demand letter for payment is a formal written request for money owed, usually sent after ordinary reminders have failed. It sets out what is owed, why, and what happens next. Done properly it often resolves the balance without further escalation, and it creates a clear record if it does not.

When to send one

Send a demand letter when ordinary reminders have gone unanswered, the balance is undisputed or the dispute has been addressed, and you are prepared to follow through on whatever next step you name. Never name a consequence you will not act on.

What a demand letter must include

  • The date and the full legal names of both parties.
  • The invoice number, amount owed and original due date.
  • A short factual account of what was delivered and when.
  • A reference to the contract, quote or purchase order.
  • A specific payment deadline, usually 7 to 14 days.
  • Clear payment instructions.
  • A statement of the next step if payment is not received.

What to leave out

  • Threats you cannot or will not carry out.
  • Insults, sarcasm or emotional language.
  • Any statement about the amount owed that you cannot evidence.
  • Claims about legal consequences you have not confirmed with a lawyer.

Dear Sir or Madam, This letter is a formal request for payment of invoice 1042, dated 12 June 2026, in the amount of $4,800.00. The invoice covers the installation work completed at your Harbour Road site on 8 June 2026 under purchase order 88-2210. Payment was due on 12 July 2026 and remains outstanding. We request payment in full of $4,800.00 by 14 October 2026. Payment may be made by bank transfer to the account shown on the attached invoice. If you believe any part of this balance is incorrect, please write to us before that date with the details, and we will review it promptly.

If payment is not received and no alternative arrangement is agreed by 14 October 2026, we will refer this matter to our formal recovery process. We would prefer to resolve it with you directly. Yours faithfully, A. Rhea, Director.

How to send it

Send by email and by a method that provides proof of delivery, and keep copies of both. Address it to the person who can authorise payment as well as the accounts inbox.

Legal note

Commercial collections rules vary by state and by whether the debt is commercial or consumer. Confirm the wording and any interest or fee claims with a qualified adviser before relying on this letter. Nothing here is legal advice.

Keeping the record straight

Whatever you send, keep an auditable log of it. AI Money Recovery drafts formal follow-ups from your own invoice data, requires your explicit approval before anything is sent, and records every action against the invoice.

Frequently asked questions

How do you write a demand letter for payment?
State the parties, the invoice number, amount and due date, the work delivered, the reminders already sent, a firm payment deadline, payment instructions and the next step if payment is not made.
How long should I give in a demand letter?
Seven to fourteen days is common and generally seen as reasonable for a commercial balance.
Does a demand letter have to be sent by a lawyer?
No. A business can send its own demand letter. A letter from a lawyer may carry more weight but also costs more and escalates the relationship.
What happens if a demand letter is ignored?
The usual next steps are formal recovery, mediation or a small claims filing, depending on the amount and your contract. Take advice before filing.
